Then please read on … DDS is a leading IT support company based in Halifax, delivering complete IT solutions and support direct to businesses. We provide our clients with professional on- and off-site support for their business IT infrastructure, covering a wide range of IT elements. The focus of the role is to ensure the delivery of effective, timely and appropriate admin services to DDS clients and potential customers, and to assist colleagues to achieve DDS goals. (You don’t need to be “technical”, that’s the job of our engineers!) You’ll also provide admin/secretarial and sales & marketing support for the MD as required. Being involved with many aspects of the business makes this is a varied and interesting role. Good relationships and communication with clients, colleagues and suppliers are key. We plan to conduct on-the-job training for several weeks after recruitment, the aim being to transfer responsibility by the end of May when the current post-holder retires. The job is ultimately expected to be 4 days/week (9am – 5.30pm with 1 hour lunch break); but employer and employee will both need to be flexible particularly during the training period. Salary in the region of £22,500 FTE depending on experience. Admin Support Officer Key duties:-Ensure timely billing and renewal of client licensing for cyber protection, domains, and other service and certification renewals, using Sage Cloud and internal systems

  • Raise one-off invoices in Sage as required on completed, chargeable jobs with information from DDS database
  • Assist with “back office” matters, eg business insurances, company vehicles, building maintenance matters, “housekeeping” and supervision of our cleaner
  • Play a part in support for our part-time Finance Officer (including some credit control)
  • Promptly provide clients and suppliers with required or requested information
  • Assist Managing Director with secretarial items
  • Support Operations Manager and MD with basic HR matters and recording
  • Assist with marketing in appropriate ways – with confidence to make suggestions! PERSON SPECIFICATION The role requires the Admin Support Officer to have a mature, friendly and balanced outlook, and the ability to deal confidently, effectively and tactfully with colleagues, clients and others with whom they come into contact. Most client contact is via email although some telephone work is involved, and face-to-face contact is for the most part with colleagues. You will, after training, be expected to organise and prioritise your own workload, but support from one of the team will always be available. EXPERIENCE AND QUALIFICATIONS: Essential:
  • Experience of working in a small team as well as managing your own workload, and knowing the importance of sharing relevant information and knowledge gained alongside maintaining confidentiality
  • Good working knowledge of Outlook, Word and Excel
  • Friendly and efficient telephone manner
  • Understanding of and familiarity with the elements involved in running a business
  • “O” levels or high grade GCSEs in English and maths, as a bare minimum
  • Good sense of humour, patience, ability to keep own counsel and know when to share knowledge! Desirable:
  • Good working knowledge of Sage Cloud accounts
  • Knowledge of and experience in HR regulations & procedures
  • Knowledge of Payroll and Pensions auto-enrolment process
  • Sales and/or Marketing experience
